Clubs need to determine their responsibilities with regard to the maintenance of their clubhouse, grounds and/or equipment, especially if they do not own them. 

Clubs need to carry out:

 

  • An Annual Risk Assessment of their clubhouse, grounds and equipment which should be reviewed during the year if the Club makes any significant changes to their clubhouse, grounds, operating procedures or they purchase new equipment.

    The following link goes to the
    Howdens Risk Assessment Portal which has been developed with the RFU RugbySafe Team. This gives Clubs access to a number of Risk Assessments including:

  • An outside Facilities Assessment:

    It should take no more than 20 minutes to complete the Risk Assessment. Clubs need to be honest in their answers to these questions and use it to create a true record of how they are managing risks at their club and identify areas where they could improve. Answering no to any of these questions will not invalidate their insurance cover. At the end of this process they will have created an Action Plan that will collate all their answers and produce an Action Plan which will be sent to them separately at the email address they have provided. Once received, we strongly recommend that Clubs discuss this Action Plan with their club committee.


  • Regular Documented Inspections of their clubhouse, grounds and equipment to ensure that they are safe. The Proactive Reporting App provides an effective tool for recording these inspections and tracking the action taken by the Club to address any issues.


  • Note: Even if Clubs are not responsible for all of the facilities, grounds and/or equipment they still need to:
  • Carry out regular inspections of their clubhouse, grounds and equipment to identify issues
  • Have a process in place for individuals to report issues.
  • Have a robust process in place to rectify the problems themselves or report the problems to the individual or organisation responsible for maintaining the clubhouse, grounds and/or equipment.
